The LodgeControl Calender

LodgeControl is designed to make the management of reservations simple. A calender view of all the rooms and bookings assists to do this. Each reservation is individually displayed on the calender for easy access. One click creates a new reservation or opens an existing one. Availability or occupancy can be determined at a glance.

Personalised colour coding enables the distinction between 'Provisional', 'Confirmed', 'Checked in' and 'Checked out' bookings.

The room labels can also be personalised with unique descriptions and colour preferences.

The calender is perpetual and can scrolled backwards and forwards by day, month or year. Calender options include resizing, back colour selection, bar or pointer selection, weekday and weekend colour selection.

Special days and holidays can be automatically highlighted on the calender to act as a reminder.

The calender display can be reset on the fly to display rooms by a predetermined position, by room type or by room description.

Because of its ease-of-use, the calender can be setup and in use within minutes.

Security setup

One of the most flexable options of LodgeControl, the multiple level security setup. Multiple levels of security allows for access to only the options and functions required by an operator.

Grouped levels allow for more than one operator to belong a group that performs specific tasks, like for instance, reservations. User name and password access is added to the functionality to ensure a secure framework of operation.

Establishments have a choice of setting up a complex set of rules regarding security by extending the security into multuple levels of security for different operators or by following a simplistic method and relying more on the in-built 'tracking' facilities of LodgeControl to manage operator access.

Over and above this security level functionality, LodgeControl, has a unique built in 'User Tracking' ability. This allows management to report on all important transaction entered into the system by each individual operator.

The accounting system automatically generates sequential invoice and receipt numbers for each batch of entries. ProForma invoicing allows for the dynamics of practical reservation management, keeping detailed record of future billings while providing for changes without complicating financial accountability.

Entries can be billed to Group, Room or individual Guest accounts.

Invoices and statements can be printed or emailed 'on demand', directly from the LodgeControl system at the touch of a button.

Preset values for Accommodation and meals can be entered into a specially designed 'rate table' and used to determine prices during invoicing.

Personalised messages can be added to invoices and statements on-the-fly.

Deposit requirements can be individually calculated, recorded and merged into correspondence for this reservation.

Posting errors are easily and securely rectified by an automated, self-balancing, 'Debit' and 'Credit' note facility.

For foreign guests the system allows a quick currency conversion for quoting of billed values.

Remote transactions from "Point of Sale' (POS) and 'Telephone Management' modules are seamlessly interfaced into the accounting system.

VAT calculations are automatically handled and controlled on an item level for every transaction.

The Reservation

Reservation - The Detail Page

The reservation detail page contains all the information you need to keep record of for a guests booking. This information is permanently stored, even after the guest has departed.

Detailed information about each guest can be recorded for marketing and personalisation of communication.

LodgeControl offers some unique and exciting features that will assist with the managing of bookings. From the reservation detail screen you can also access any grouped bookings associated with the current one in view. You can lock the booking to the current room so that it cannot be accidentally moved to another. You can add special guest needs, both, in and off the property like - a baby chair or arranging a game of golf.

From here one can change the status of the booking from Provisional to Confirmed or In House. A Work-Flow or as we prefer to call it, a Progression log can be kept and managed from this page.

All the information on this page can be accessed and edited quickly and easily from the main calendar.
